A catering quote may include your custom menu, food preparation, delivery, and the service elements selected for your event. Staffing, rentals, linens, dinnerware, bartending support, live stations, setup, and teardown may be priced separately, depending on what your event requires.
That is why two caterers can quote the same guest count and arrive at very different numbers. They may not be quoting the same event.
You do not need to have every detail figured out before you contact a caterer. Start with what you know. A good catering team should help you think through the menu, service style, staffing, rentals, and other decisions that still need to be made.

A catering quote should start with your vision
Before we recommend a menu or service plan, we need to understand what you are hosting.
The most helpful details include:
Your date and location
Your estimated guest count
The type of event
The service style you are picturing
Menu preferences and dietary needs
Your working budget
You may still be deciding some of those things. That is normal. Share what you know, and we can help you work through the rest.
Each detail affects the proposal.
A catered lunch for a team meeting has different needs than a product launch with passed hors d’oeuvres. An executive dinner requires a different service rhythm than a gala for several hundred guests. A venue with a full kitchen gives the culinary team different options than an outdoor location with limited power and water.
Your budget belongs in the conversation too.
When your caterer knows what you are comfortable spending, the team can build toward it. Your budget helps determine where to place the emphasis, whether that means premium ingredients, additional service support, live preparation, rentals, or a simpler delivery format.
It also allows the caterer to tell you early when the event you are picturing and the available budget do not line up.

Why catering quotes can vary so much
A guest count does not tell the whole story.
Imagine two proposals for a corporate reception with 150 guests.
The first proposal may include prepared food delivered to the venue in disposable serving trays.
The second may include a custom menu, chefs, wait staff, setup, passed hors d’oeuvres, a live station, china, glassware, linens, bartending support, and teardown.
Both proposals say “catering for 150 guests,” but they describe different levels of food, service, equipment, and labor.
This is one of the most important things to understand when comparing catering quotes:
Compare what each proposal includes before you compare the final numbers.
A lower quote may offer exactly what your event needs. It may also leave out services another caterer included. A higher quote may reflect premium ingredients, more staff, a different service style, or additional support at the venue.
The total matters, but the details explain the total.

How service style changes the quote
Drop-off catering
Drop-off is our simpler catering format.
Food arrives in disposable trays with serving utensils unless your proposal says otherwise. Staffing, setup, rentals, and on-site service are not included unless you request them and we confirm them separately.
Drop-off can work well for:
Office lunches
Team gatherings
Meetings and trainings
Conference-room meals
Casual celebrations
Events with someone on-site to receive and manage the food
Simple does not mean careless. The menu should still fit the occasion, travel well, and arrive ready for your guests to enjoy. For drop-off catering, Blackberry Soul designs menus that travel and reheat well, helping the food maintain its integrity and flavor through delivery and any reheating that may be needed.
The difference is that your team or venue handles what happens after delivery.

Staffed event service
Corporate receptions, executive dinners, galas, fundraisers, weddings, and large private celebrations may require more support on-site.
Depending on the event, the proposal may include or offer:

Not every event needs wait staff, specialty rentals, bartending support, or a cook preparing food in front of guests.
Quoting those services separately allows you to see what the event requires and make informed choices about where to invest.

Wait staff
The number of service staff depends on your guest count, venue, timeline, menu, and service style.
A buffet, cocktail reception, and seated dinner do not require the same staffing plan. Staff may assist with setup, guest service, maintaining food and beverage areas, clearing, and other responsibilities described in your proposal. Your catering team should recommend staffing based on the layout, timing, and level of service your event requires.
Live-station cooks
Some dishes taste and feel different when a cook prepares or finishes them in the room.
At Blackberry Soul’s interactive shrimp and grits station, guests can enjoy creamy organic polenta grits with shrimp or fried salmon, finished with a choice of Creole red sauce, creamy Cajun-style sauce, or rich white wine sauce. The station gives guests a fresher, more personal experience than food prepared earlier and held for service.
A live station requires a cook, equipment, preparation space, and service time. The proposal should account for each of those needs.
Rentals
Your venue may provide tables, chairs, linens, dinnerware, and glassware. Blackberry Soul owns and provides many rental items and also works closely with trusted rental companies when an event requires additional pieces.
Before choosing rentals, confirm what your venue includes and the condition of those items. Your caterer can then help identify what the event still needs.
Linens and dinnerware
Disposable serviceware may suit a working lunch. A gala, executive dinner, or milestone celebration may call for china, flatware, glassware, or coordinated linens. These choices affect both the look of the room and the logistics behind service.
Bartending support
Bartending needs depend on the number of guests, length of the event, beverage plan, venue rules, and whether you are serving beer, wine, cocktails, or nonalcoholic drinks.
Your proposal should tell you what bartending support includes and what you or the venue must provide.
Ask what “setup” and “teardown” mean
Those words can mean different things from one proposal to the next.
Setup might mean placing disposable trays on a table. It might mean arranging a buffet, setting dining tables, organizing rental items, preparing service stations, or coordinating the culinary setup with the venue.
Teardown may cover catering equipment and food-service areas without including all event décor, rental returns, trash removal, or venue cleanup.
Do not assume that two caterers use these terms in the same way.
Ask what the team will set up, what it will remove, and what remains the responsibility of the client, planner, venue, or rental company.

Dietary accommodations belong in the plan from the beginning
Dietary needs should not become a last-minute tray added to the edge of the table.

What should a catering proposal tell you?
A clear proposal should help you understand what you are approving without asking you to decode it.
Look for information about:
The menu

Seven questions to ask when comparing Bay Area catering quotes
1. Are these proposals based on the same service style?
A drop-off proposal and a fully supported event proposal should not cost the same. Make sure each caterer understood the experience you want.
2. Does the quote include delivery and setup?
Ask how the food will arrive, who will receive it, and what the catering team will do once it reaches the venue.
3. Is staffing included?
Confirm the number and type of staff members included, what they will handle, and how long they will remain on-site.
4. Are rentals included or quoted separately?
Look for tables, chairs, linens, china, flatware, glassware, serving equipment, and any specialty items your venue does not provide.
5. How will the caterer handle dietary needs?
Ask whether the menu includes substantial options, how the team will identify them, and what information the caterer needs about allergies.
6. What happens when the guest count or timeline changes?
Events move. Guest counts rise and fall. Ask when final numbers are due and how later changes may affect the menu, staffing, rentals, and total.
7. What does the payment schedule require?
Know what deposit reserves the date, when the remaining balance is due, and which terms apply if you change or cancel the event.

Once we finalize your menu and details, we ask for a deposit to reserve your date, with the balance due before the event. We lay out the full payment schedule in your proposal so everything is clear before you commit.
That schedule may depend on the event, which is why the proposal and catering agreement remain the right places for the specific terms.
What happens if a menu item becomes unavailable?
Ingredient availability can change because of seasonality, supplier shortages, quality concerns, or circumstances outside the caterer’s control. Ask how your caterer handles substitutions, when you will be notified, and whether a change could affect the price or dietary accommodations.

How far in advance should you contact a caterer?
For corporate events, galas, fundraisers, weddings, and events that require staffing or rentals, reach out as early as you can.
